Job Purpose 

To provide effective administrative, coordination and executive support to designated Executive University offices - the Chairman, University Governing Body (UGB), and Group Human Resource and Administration - while providing timely and professional online customer-care support to students and other stakeholders.

Responsible For
Key Functions and Responsibilities 
  1. Executive and Administrative Support
  • Provide administrative and coordination support to designated senior University offices. 
  • Manage schedules, appointments, meetings, correspondence and official communications. 
  • Prepare meeting agendas, take minutes and follow up action points. 
  • Maintain effective filing, records and electronic document-management systems. 
  • Support the organization of meetings, events and official University activities. 
  • Handle confidential information with discretion and professionalism. 
  1. Online Student Customer Care and Support
  • Serve as a designated online customer-care contact for students through approved digital platforms. 
  • Respond to student enquiries and provide accurate guidance on University services and procedures. 
  • Receive, record, track and follow up student enquiries, complaints and service requests. 
  • Resolve routine enquiries and escalate matters requiring specialist intervention to the appropriate offices. 
  • Monitor outstanding cases and ensure timely responses in accordance with approved service standards. 
  • Identify recurring student concerns and recommend improvements to student-support services. 
  • Maintain professional, respectful and student-centred communication and ensure confidentiality of student information. 
  1. Reporting and General Responsibilities
  • Maintain accurate records of correspondence, meetings, student enquiries, complaints and resolutions. 
  • Prepare periodic reports on customer-care activities, outstanding cases and service trends. 
  • Support monitoring of customer-care standards and turnaround times. 
  • Ensure compliance with University policies, procedures and service standards. 
  • Perform any other duties commensurate with the position as may be assigned by the immediate supervisor

Educational Requirements
Minimum Education and Experience 
  • Bachelor's degree in Business Administration, Public Administration, Office Administration, Management, Communication or a related field from a recognized institution. 
  • At least three (3) years' relevant experience in executive administration, office administration, customer care, student services or a related field. 
  • Experience in online customer service and digital communication platforms is an added advantage.
